1. Who we are
DMH AIR CONDITIONING LTD, trading as Air Logic Pro, is the data controller for the personal data described in this notice. We are registered in England and Wales. You can contact us about privacy matters at office@dmhaircon.co.uk.
2. Personal data we collect
- Account data — name, email address, login credentials and company details.
- Service content — records you enter about your own customers, sites, assets, engineers, jobs, quotes and invoices, including any photos you upload.
- Support data — messages and attachments you send to us.
- Technical and usage data — IP address, device and browser identifiers, log data and basic usage telemetry.
3. Why we use it and our legal basis
- Creating and administering your account — performance of our contract with you.
- Providing, hosting and supporting the Service — performance of our contract.
- Security, fraud prevention and abuse detection — our legitimate interests.
- Improving and troubleshooting the Service — our legitimate interests.
- Marketing communications, where you have opted in — your consent.
- Meeting accounting, tax and other legal duties — legal obligation.
4. Who we share it with
- Service providers and subprocessors — hosting, database, email and support tooling providers acting on our instructions.
- Paddle — our Merchant of Record, for the sale of subscriptions, payment processing, subscription management, invoicing and tax compliance.
- Professional advisers — legal and accounting advisers where necessary.
- Authorities — where we are required to disclose by law.
We do not sell your personal data.
5. International transfers
Some of our providers may process data outside the UK or EEA. Where that happens, we rely on appropriate safeguards such as UK adequacy regulations or Standard Contractual Clauses with the UK International Data Transfer Addendum.
6. Retention
We keep account and service data for as long as your account is active and for up to 12 months after closure, unless a longer period is required for legal, tax or accounting purposes (usually six years for financial records). After that, data is deleted or anonymised.
7. Your rights
Under UK GDPR you have the right to access your data, have it corrected or erased, restrict or object to processing, request portability, and withdraw consent where processing relies on it. Contact us at office@dmhaircon.co.uk and we will respond within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
8. Security
We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls and least-privilege administration.
9. Cookies and local storage
We use essential cookies and browser local storage to keep you signed in and to store the demo records you create on your own device. We do not use advertising cookies. You can clear cookies and site data at any time from your browser settings, though doing so will sign you out and remove demo data held locally.
